CORONAVIRUS and "the Hut"
Our standard Condition 3, says that "Refunds - should a user cancel a booking for any reason ........ NO REFUND will be given unless another user is found by F.O.P.W.A. to take the day booked."
In view of the exceptional situation caused by the Coronavirus outbreak, we have changed that Condition to -
For all reservations made up to and including the end of October (the end of our summer season) reservations must be cancelled with your choice being to EITHER
1. Receive an immediate and full refund of your Booking fee OR
2. To "roll-over" your 2020 reservation to the same day * next year (2021) and your Booking fee retained by us.
* "Same day" means that, for example, if you have booked the third Thursday in May 2020 (21st) we will allocate the third Thursday in May 2021 (20th) to you.

The rest of this page was our standard wording, written before the impact of the coronavirus was known. Please note - virtually all groups who had a reservation this summer (2020) have decided to "roll-over" their booking to the same day in 2021. Because of that, there will be very few (if any) days available in 2021 and we shall not use our usual booking system in 2021.
This page gives information about the system used to book your day at "the Hut", (in a normal pre-coronavirus year) but the first thing to say is that the bookings system starts in late November / early December each year when letters are sent to everyone on our mailing list, with the actual bookings being made by phone in the following January.
NEWS - "the Hut" summer 2020 bookings - started on WEDNESDAY 15th JANUARY 2020 . Booking reminder letters, booking forms and booking conditions have been uploaded onto our website for you to print and use. These have been sent to everyone on our mailing list in November 2019. In most cases they were sent via the Internet to your email address. Otherwise they were sent by post.

The Booking Form must be sent to us only AFTER YOU HAVE MADE A PROVISIONAL BOOKING BY TELEPHONE
So booking your day at "the Hut" is a case of "first come first served" and we allocate and reserve the days as the individual phone calls are received. This may mean that you will be on the phone for some time trying to get through, but the good news is that once you do get your called answered, you will be given an instant answer by our volunteer call handlers. It is therefore important that the person making the call on your behalf has the authority to make an instant decision about what day to accept if your first choice preferred day has already been allocated to an earlier caller. We will ask you for a contact name and phone number when you call - so please have that ready.
Knowing that there will probably be lots of people trying to get their call answered, we try to keep each call as short as possible. We would love to stop and have a chat about "the Hut", but that would mean keeping other callers waiting - so pleased don't be offended if we try to deal with your call in the shortest possible time.
